Describe the space
Record the area in square metres, the material if known and whether the work is a driveway, patio or both. Include steps, side paths or a shared section only if they are part of the job. Confirm you have permission to arrange work on shared paving.

Take three useful photos
Take a wide view of the whole area, a close-up of the worst patch and a view of the access route. Show loose joints or damaged edges clearly. Avoid house numbers, faces and vehicle registrations where they are unnecessary.

Agree what the price includes
Ask for surface cleaning, stain treatment, re-sanding or joint repair, sealing, furniture movement and waste collection as separate line items where relevant. Request the final VAT-inclusive total, not just a square-metre rate.
Explain access and water
Tell the cleaner about gates, steps, parking distance and an outside tap. Do not send keys or access codes in the first message. Confirm how hoses will be routed and how people can safely enter or leave during the work.
Set expectations before work starts
Agree the expected finish, any stains likely to remain and when the paving can be used again. Ask whether drying or joint work requires another visit. Keep the written scope and agreed total.
